The application at a glance

Executive Summary

The UCI 340B Program application centralizes provider, pharmacist, department, drug-exclusion, and source-report information used during prescription auditing. Pharmacist auditors can search uploaded Excel data without reopening multiple workbooks, apply provider review periods based on the prescription date, and view supporting source-report details from a single interface.

The web app also includes administrator-controlled release of Excel reports for use in query searches, access to historical uploaded records, single sign-on access restrictions, and audit logging. Together, these features streamline the audit process and improve documentation consistency, traceability, and access to supporting information.

A deliberate audit workflow

From uploaded workbook to traceable source.

Every stage has a distinct purpose. Uploading a workbook does not automatically make it available in audit searches.

    Supporting context

The provider search window is an application-defined three-calendar-year review period, not a universal 340B regulatory requirement.

One application · four lookup tools

The context behind a prescription review.

Move between related references in one workspace. Each lookup has its own search controls; the application does not imply that every data source is queried by one universal search.

Provider information

Start with the prescription date. Search a name or identifier and compare appearances across released reports.

  • Name, DEA, license, or NPI
  • Prescription-date review window
  • Detailed source history

Pharmacist information

Find pharmacy personnel and service-location context without reopening a separate directory.

  • Pharmacist, clinic, and location
  • Listed and archived entries
  • Preserved source appearances

Department information

Review department-level context while preserving what the source actually reports.

  • Department records and identifiers
  • Source-reported 340B designation
  • Missing values remain distinguishable

Drug-exclusion information

Check released exclusion sources with the original identifier formatting and descriptive context intact.

  • NDC and description search
  • Category-based filtering
  • Leading zeroes and source variants

A connected reference workflow

Keep the source in view.

Provider results bring available identifiers, reported history, and source provenance together. Related lookup tools add pharmacist, department, and drug-exclusion context.

07 / Trace

Audit activity

Filterable application events with actor, timestamp, action, and recorded outcome.

Documentation efficiency

Fewer separate files. A clearer review path.

A qualitative workflow comparison—not a measured time-saving or error-reduction claim.

Functional breakdown

Feature Analysis

How the application supports review, source documentation, and audit readiness—without substituting for an eligibility determination.

Lookup & search

Prescription-date provider search

How it functions
Search released provider reports within the inclusive three-calendar-year period ending on the prescription date. Future, older, and undated reports are excluded from this search.
Audit benefit
Keeps provider evidence within the application’s defined review period. This is a configured workflow, not a universal 340B regulatory lookback requirement.

Lookup & search

Cross-workbook provider history

How it functions
Search names, DEA numbers, licenses, or NPIs across released reports, with partial, case-insensitive matching.
Audit benefit
Find multiple source appearances without opening each workbook separately.

Lookup & search

Pharmacist directory

How it functions
Search pharmacists, clinics, and locations; review listed and archived source entries.
Audit benefit
Locate pharmacy personnel and service-location context for a prescription review.

Lookup & search

Department reference

How it functions
Display department information and source-reported 340B location designations without inferring missing values.
Audit benefit
Review department context while keeping unreported or ambiguous information distinguishable.

Lookup & search

Drug-exclusion reference

How it functions
Search released exclusion records by NDC or description, filter categories, and retain leading zeroes and source variants.
Audit benefit
Reduce transcription and formatting errors when checking the applicable exclusion source.

Source documentation

Detailed source context

How it functions
Show available reported identifiers, status, program, appointment and other dates, alongside workbook, worksheet, row, and report date.
Audit benefit
Compare supporting fields together and trace a result to its source location.

Source documentation

Historical report library

How it functions
Browse preserved released reports by filename, year, report date, and upload time. Unknown dates remain visible in the library.
Audit benefit
Find earlier source material without letting newer uploads erase its history.

Report governance

Staged workbook review

How it functions
Separate upload, analysis, review, release, and withdrawal; review detected columns, source previews, and warnings.
Audit benefit
Keep unreviewed uploads out of provider searches and distinguish publication from file receipt.

Report governance

Historical workbook compatibility

How it functions
Recognize supported historical layouts while validating headers and preserving original source distinctions.
Audit benefit
Use compatible older reports without silently treating unrelated columns as provider evidence.

Audit readiness

Application audit events

How it functions
Record supported workflow and search events with actor, time, action, and outcome; expose native record history where available.
Audit benefit
Help reconstruct activity and reconcile record changes. Event coverage is not a complete or immutable record of all system activity.

Audit readiness

Controlled lookup receipts

How it functions
Provide controlled provider lookup receipts and exports in the applicable receipt workflow, with record and access boundaries.
Audit benefit
Retain applicable review references without implying every lookup automatically creates an eligibility determination.

Access & scope

SSO and role boundaries

How it functions
Use approved Google single sign-on accounts and separate Owner, Administrator, and Lookup User permissions.
Audit benefit
Restrict report management and sensitive administrative activity to authorized users.

Access & scope

Private protected data

How it functions
Keep application credentials and protected workbook access server-side, with private, no-store controls for protected responses.
Audit benefit
Limit unnecessary exposure of internal operational information during routine review.

Access & scope

Informational decision support

How it functions
Present source-reported facts and history without automatically deciding employment, prescription eligibility, or final 340B compliance.
Audit benefit
Keep the final determination with the auditor and the covered entity’s policies and supporting documentation.

Governance & audit readiness

Controlled publication. Documented context.

Organize supporting information and review activity while preserving access boundaries and the limits of the source data.

Control what becomes searchable

  • Separate workbook receipt from review and release.
  • Inspect mapped fields, source rows, and warnings before publication.
  • Distinguish released reports from staged or withdrawn sources.
  • Preserve historical reports for retrospective review.

Limit access. Retain context.

  • Approved-account Google single sign-on.
  • Owner, Administrator, and Lookup User role boundaries.
  • Operational event history, with sensitive security events restricted.
  • Native record history where available for reconciliation.
